Find those Ghostly Invisible Symbols

Did you know there’s a way to show invisible symbols in Milestones Professional?

You might look at this schedule and think it’s only got a few tasks:

But if you go to the View Tab > Highlight Invisible Symbols, you get a very spooky truth:

Remember, go to the View Tab > Highlight Invisible Symbols to make sure your schedule doesn’t have any ghostly hidden symbols! Happy Halloween!

Tutorial for using baseline with Milestones Professional
I understand Milestones Professional offers a baseline scheduling feature. I would like to know more about this capability. Please direct me to the appropriate resources.

Suggested symbols and bars for “Birds on a Wire” charts
I like the “Birds on a Wire” charts I have seen made in PowerPoint. I know these are easier in Milestones. Can you give me a clue how to make mine look like this with Milestones (sample made in PowerPoint)?

Filter to remove tasks which are 100% complete from view
I would like to turn on a filter that would remove tasks that are 100% complete from the view. Is this possible?

Trying to find a symbol that is linked to a UID in Microsoft Project
I have a rather large schedule. I am trying to see a report or search for a Unique ID that is linked to my project. Task Unique ID 144 for example. I have a couple hundred symbols linked and I want to find the symbol that 144 is linked to.

Currency symbol
I have a problem with the currency symbol display in a column. We use the Euro, ˆ (symbol). I have correctly set the Control Panel > Regional Options for currency in EURO with the symbol. Milestone does not seems to acknowledge the change and therefore I remain with the $ (US dollar Symbol) on each schedule. Is there a way to overcome the problem?

Turn off collapse/expand indicators
I would like to turn off the red triangles which appear in my first column to the left of the schedule area. How can I do this?Creating vertical connectors in Continuous View

Custom Project Import Templates
None of the import formats in the Project to Milestones wizard does exactly what I need. However, there is one that I have found that is very close. But I find it very time consuming to have to customize it after I import my information. Is there a way to make this process faster?

Task summary bars
Now that my schedule is outlined, I would like to display summary bars. How do I turn these on?

Symbols with same text
I want to have the same text appear for a certain symbol (without having to add text to the symbol after each time I add the symbol to the schedule). How can I do this?

Symbol text too far away from symbol on really wide schedule
I have noticed that my symbol text is very far away from my symbols when I make my schedule an odd size (like 62 wide by 11 tall). Is there any kind of adjustment I can make, or do I need to “fudge it”?

Curtains
Is it possible to shade a date range on my schedule?

Substitutable Duration Text
Can I show the duration of a horizontal task bar as the text for that bar? Can I add text to it? For Example [duration] working days.

Summary Bar and symbols on the same level
I would like to have the summary bar line up with the rolled up symbols from below.

Filter using a text field
Let’s say I import my entire schedule from Project. Can I filter on a value in one of my columns so that only the tasks I want are displayed? I need to switch between views of 4 different teams without have to do the import separately for each team.

Bars not filling in
I imported my Microsoft Project schedule into Milestones Professional. I want the bars to fill to the status date. Most of them don’t do this. Why not?

Templates
Is it possible to change my default save location for templates?

Show two date lines
Am I able show two date lines using Milestones Professional? For example, I want to show a status line ( i.e. Sept 8, 2017) and a date line that’s in the future (i.e. Oct 1, 2018).

Delete a vertical link
Is there a way to delete or remove a vertical connection once it has been created?

Using Milestones Professional with Atlassian Confluence…

An insanely genius way to find simplicity out of clutter

“Out of clutter, find Simplicity. From discord, find Harmony. In the middle of difficulty lies Opportunity.” -Albert Einstein

It’s no surprise to anyone working at a large company that there are plenty of complex processes. And in the attempts to make things easier to understand, well intended co-workers (myself included) often create PDF files, Microsoft Word documents and PowerPoint presentations to try and bridge the gap. The result is an explosion of scattered data that’s not properly stored or secured…not to mention how difficult it becomes to find in the line of fire.

Allow me to share a recent story while working for a large global software company. First of all, our division is responsible for the ongoing training of 70+ Customer Success Managers.  For anyone not familiar with this role, Customer Success Managers (CSM’s) are the glue of any successful organization.  They’re responsible for the customer experience across multiple touchpoints (sales, support, services, operations, development, product management, renewals and more). This also means they get constantly bombarded by the above teams’ internal sites, documents, file shares and bookmarks that seem to change every week.  And the kicker is, they’re actually required to absorb all the latest data so they can advocate for their clients throughout the entire customer lifecycle.  A complex initiative no doubt!

So in our latest onboarding of 20+ new CSM’s, I decided to attend one of the training sessions to brush up on a few internal processes and meet some folks.  From the first 10 minutes, I couldn’t help but notice several panicked faces.  Don’t get me wrong…the content and instructors were great, but the sheer volume of data being thrown at these guys and gals was staggering.   And this was just 1 topic.  What they were being asked to comprehend in 3 weeks of training must have felt like a full semester’s worth of coursework from college.  Keep in mind many of these CSM’s are recent graduates from top tier colleges and universities like Duke, Michigan, Georgetown, Virginia, North Carolina, Texas, and other elite academic institutions.  Obviously, they’re not afraid to learn…but when the content contains a massive amount of detail, is scattered across multiple locations and has limited context to what they covered in previous training sessions, it tends to get overwhelming really fast.

The good news is I was able to step up to the podium and help calm some nerves.  I presented a customer lifecycle dashboard that I created using Milestones Professional.  It’s a clever, single page timeline/Gantt chart acting as a hub to all the key links within our organization’s internal knowledge base.  Consider it a high level map with visual, clickable icons helping CSM’s understand what to do, when to do it, and where to find the content.  As I started demonstrating how it can be used, I think I heard a few collective sighs of relief.  After the training, I talked to the attendees and honestly heard comments like “this is genius” or my personal favorite…“what you created is insanely helpful!” I guess there really is a fine line between genius and insanity. J I give most of the credit to KIDASA Software’s Milestones Professional and Atlassian’s Confluence.  Together, they create an insanely genius way to find simplicity out of clutter.

Customer Lifecycle Dashboard:  How it works, the benefits, and tips on creating your own.

How it works:  Single click access to the information you need!

CSMs click a lifecycle milestone on the dashboard…                              …and get specific content from our Confluence page

Likewise, if CSMs click icons in the shaded blue area…                         …they get help with specific content on that subject

This turns painful knowledge searches and slow responses back to clients into faster and more accurate communication, while simultaneously improving collaboration.  CSMs simply add/edit entries as needed.

Benefits:

Create your own dashboard to simplify a complex process:

Requirements:
1. You must own a copy of Milestones Professional 2017 with the latest update.
2. Optional – If you want to publish your dashboard to your organization’s internal knowledge base site, you need access to a content collaboration software such as Atlassian’s Confluence.

  • In Milestones, set your date range and date heading type:
    • I used a year-long date range (starting with January 2016 and ending with December 31, 2016).
    • I created a custom heading to display phases of my organization’s product lifecycle.
  • Establish your milestone symbols that will map to your key processes:
    • Determine the milestones you want to use for your dashboard. You can choose from 100+ symbols in the Milestones toolbox or you can use bitmap images as symbols like I did.
      Here’s what I chose:
    • Position symbols on your timeline/bar as needed. If you have a lot of detail you’ll need to adjust your schedule lay out size and/or adjust the position of symbols within a task row to relieve crowding.
    • Now add symbol hyperlinks – I added the URLs of the Confluence web pages containing the key content on that particular subject. For example, the “Upgrade” milestone above would link to a Confluence page which discusses the overall upgrade process, including key support documentation.
    • Optional – Feel free to add additional symbols on your dashboard (like I did in the lower section shaded in blue).  It gives users the help they need.
  • Use free form text links for any additional sites/links:
  • Publish your dashboard:
    • Use the Milestones Professional Internet Publishing Wizard to create the graphic and HTML code.
    • The output will consist of an HTML document and a picture of your dashboard.
    • Remember where you saved these 2 files…you’ll need them if you want to include your dashboard on your collaboration site. If needed, check: Tools|Program Options|Folders.
    • Keep in mind, even if your organization doesn’t have a collaboration site, you can still publish your dashboard as an Adobe PDF file. This is a great way to send co-workers your beautiful dashboard in an email so they can open, view and click to access all those useful hot spots/hyperlinks.
    • And if you prefer, you can have co-workers download your dashboard using the free Milestones Professional viewer
  • Include your dashboard on your content collaboration/knowledge base site:
    • Depending on the internal content collaboration tool you use, you should have a way to insert the HTML code within the page. Here are the HTML Macro instructions from Confluence.
    • To put the correct HTML code into the HTML Macro, I took the following steps:
      A) I use Internet Explorer as my default browser for Milestones. And when I’ve published my schedule, I can easily go to the View tab in Internet Explorer and choose Source.  At that point, I can copy the HTML code and insert it into the HTML Macro for Confluence.
      B)  Now I upload my dashboard picture/file from Milestones into the Confluence picture library.  Then I right click the newly uploaded file and select “copy link location”.  Once I’ve done that, I replace the 2 generic file names of my image in the existing HTML code with the actual URL of the file I just uploaded. For example, I replaced the two “G001.jpg” entries in the Milestones HTML code with the following URL:

Now your dashboard is on your company’s knowledge base site and ready for prime time!

Assign Specific Text to a Symbol
Is there any way that I can assign each toolbox symbol to have a specific text to it or to include the task name next to each symbol automatically so I don’t have to do it manually?

Move one symbol only
When I move one symbol on my schedule, other symbols are moving too. Help! I only want to move one symbol.

What can affect Fill to Status Date?
Bars are not filling to status line. The Bars – Fill to Status Date option on the Dates tab is checked. I have followed the instructions. Any ideas?

Use a Bitmap as a Symbol
How do I convert a picture into a symbol to use in Milestones?

Summary bar not aligning with lower level symbols
The summary bar isn’t always extending out to the latest dates of the lower level symbols. Not sure what is going on.

Number of Vertical Links
How many vertical links can start from a single symbol?

Legend and DataGraph Placement
Is it possible to have a Legend and DataGraph(s) shown at the same time?

For timing charts Heading frequency only goes to 60
We use milestones for schedules and also for machine timing charts. When doing timing charts, we usually use 1 day as equal to 1 second. When cycles are really short, then we use 1 day equal to 1 millisecond, so 1000 days is equal to 1 second. We have a header type (within Date Headings Dialog Box) of Daily 1,2,…30, 31,32,33… Even though the frequency settings allows entry of numbers above 60, it seems to not change anything on the header. So the time breakup in header for frequency of any value above 60 is always 0—-60—120—180…… and is not readable due to everything running together. Is there a way to change this so that the header is 0–250—500—750—1000?

No vertical lines in date headings
We have created a new schedule and in the date headings we have displayed the Months, however there are no vertical lines separating the month titles. I have the vertical lines within the schedule but want the lines in the date headings area too. I have searched high and low…Can you tell me how to add these?

Show curves and bars in DataGraph
I need to create a data graph with both bars and lines on the same DataGraph area. It appears that DataGraphs can either be bar graphs or line graphs, but not a mix. Suggestions?

Why are some symbols not filled?
Why are some of the symbols and connectors on my chart filled in while others are not?

Add tasks from Microsoft Project to an existing schedule
I have a Milestones schedule which I imported from Microsoft Project. Now, I would like to add several tasks to the schedule without re-importing. What’s the best way to do this?

Save version 2017 schedule in an earlier version’s format
My coworkers still have Milestones Professional 2015 and I need to share my schedule with them. How do I do this?

Cant select text box
I moved a text box off of my schedule and now I can’t select it to move or delete it. Help!

Published symbol hyperlink not working
I have published my schedule as HTML using the Internet Publisher. Now, when I try to click one of the links on the schedule in the published HTML file, the link does not work.

Three rows per page in PowerPoint
I am presenting my Milestones Professional schedule in PowerPoint and want to only show three rows on each PowerPoint slide. Any way to do this?

Stamp a schedule with a date, page number, and more

Is it possible to set up swimlanes similar to my example in Milestones Professional 2017, possibly with the swimlane title rotated 90 degrees?

Milestones Professional Automation Interface Documentation
Is there some documentation available for using VBA with Milestones Professional or at least something that will identify the values associated with formatting bar styles in a chart.

Phantom symbols
I have been experiencing a strange problem with Milestones Professional. Specifically, when I add a symbol to a chart, it also adds a symbol on the line (or two) above it.

Default Symbol Text
I’m making a “no-columns” presentation schedule. Is there an easy way to attach my task names as symbol text?

Show date and text on one line with two colors
I want to show the date on a symbol along with some text in a different color. It should show the date along with the stage of the project. For example: 3/20/2017 – (Stage 4). I’m trying to do this as a symbol note. It seems I can only change the color for each line of text though. Any ideas?

Clear all symbols within a date range
I have a horizontal year-by-year listing of events for the next five years. I want to get rid of events (symbols) I scheduled in one year without clearing the other years’ symbols. How can I do this?

Coded symbols and bars
I am creating a presentation schedule from Microsoft Project and would like to use the Coded Symbols and Bars format. Can I get an example of how that works?

Move symbols ahead by 4 months
How can I move a group of symbols about 4 months to the right all at the same time?

Upgrade compatibility
I am thinking about upgrading to the latest version but there are quite a few people in my company using a past version. I occasionally need to share a schedule with them. Will I be able to save my schedules in the version that they have?

Locked trial version
I have purchased Milestones Professional. When I start the program I get the message: This is a locked trial version. What have I to do?

Chart drawing slow
After I upgraded my software, the charts take a long time to edit. Every change I make to a chart I have to watch the chart re-draw itself. Is there a way to save all my own chart settings and just apply that to any chart I open. Color, text size, legend settings, etc. I make 20 changes to every chart I open.

Horizontal bar has white stripe
I am using Milestones Professional to build a chart for our management. The task bars I am inserting (which should be solid) have a white stripe through the middle of them. Here’s a picture.

Refresh percent complete with a field other than percent complete
Hello – I am working on a Milestones Professional schedule and am wondering if I can map the bar complete fill to another column in Microsoft Project. My understanding is that the bars currently fill based on the % Complete column data in the Microsoft Project file. I would like to use another Microsoft Project field that we use for Earned Value % Complete. Is that possible?

Have many users open schedule read only on a server
I often am forced to save several versions of a file because another user opens my file, forcing me to “save as” to another version when I need to make changes. Is there a way for me to know who has my file open? Is there some way to prevent this problem?

Symbol tag case sensitive?
Is the Symbol tag case sensitive? Does it matter if I enter it upper or lower case?

No change or unexpected changes after schedule refresh
I have been refreshing my very dense master schedule every month for the last 2 years. Now I find that for all of my bars only the finish date is updating. The start date is not updating. What could be wrong?

Add a bitmap symbol to the toolbox
I want to use a picture I have as a symbol on the schedule. How do I go about doing this?

HTML Publishing – need a master schedule with sub schedules
I’m generating HTML tiered hierarchy from a Master Schedule for 4 sub-schedules. Each sub-schedule has a summary bar, level 1, and some level 2 tasks. The main HTML output of Master shows only the Summary bars. Clicking a summary bar takes me to the sub-schedule. (Expected behavior) What I want is to control how many task levels are displayed on the HTML Master in the tiered output. For example, I would like HTML Master to show Summary and all Level 1 tasks, rather than just the Summarybar for each sub schedule. Is this setup possible?

Center vertical connection on a bar
I need to connect a symbol from one row to the center of a bar on another row. It looks like vertical connectors only go from symbol to symbol. Is there any way to show the connector hitting the middle of a bar?

Date heading only shows letter for part of the heading
My date heading shows some months with the full name and others with an abbreviation. Is there a way to make it consistent?

Export from Primavera
I would like to import from Primavera. Is there anything special I need to do to generate the XML files which Milestones can use?

Browse templates without opening
Is there a way to look through the sample templates or search them and get a preview without opening every single one to see if they’re what I want?

Refresh from multiple Primavera XML schedules
I have several Primavera schedules and would like to build a Milestones Professional schedule which I can later update when the Primavera dates change. What steps should I follow?

Announcing: Milestones Professional 2017

We are proud to announce that we have released Milestones Professional 2017, the latest version of our flagship product, Milestones Professional.

Here are a few of the new changes in version 2017:

Improved Undo

A new Multiple Undo feature has been added to Milestones. Now all actions can be undone. You can set the number of actions that can be undone from 1 to 100 (the default is 20). This is done using the Tools | Program Options | Edit screen:

Select Multiple Tasks to import ad-hoc from MS Project

In past versions, one Microsoft Project task could be linked via the “Link to Active MS Project task” feature. Now, groups of tasks can be selected in Microsoft Project. Then, the link feature makes it possible to link all selected tasks at once. One option is add all dates from selected tasks to a single row on the Milestones chart. The other option is to have Milestones add new rows for each Project task:

Symbol tags across multiple files

Is it possible to create a report that compares tags across multiple files? For multiple tasks that have the same name, would it be possible to consolidate those and compare the tags?

Can not select symbols on some rows

Some of the rows on my schedule have symbols which I can not select.  I would like to change or delete the symbols but can not select them for deletion.

Can’t indent tasks

I want to indent text in my column. I never had trouble doing this before. I usually right-click the cell the text is in and Click on Indent/Demote task. For some reason it is not working.
